QuicDoc® and Office Therapy® December 2014 Newsletter

blue lock encryptionThe majority of QuicDoc Pro and Office Therapy users are not the target of hackers today. The biggest threat our users face is the loss or theft of servers, desktop and laptop computers. These computers, even when secured with Windows logon passwords, are not secure enough.

Logon passwords can easily be hacked leaving the data vulnerable to thieves. Even if they don’t take the time to break the password, the culprit can just remove the hard drives and connect them to other devices to access the data. The only way to adequately protect your practice, your clients, and yourself is to encrypt all the drives containing “Protected Health Information.”

QuicDoc Pro and Enterprise, as well as Office Therapy software users should protect their data by encrypting the hard drives where the databases reside. BitLocker Drive Encryption built into Microsoft computers for Windows 7 and higher, will encrypt hard drive(s) to protect operating systems from offline attacks. If you have not done so and need to encrypt your hard drive, be sure to first back up your data and store it on an external device.

You can rest assured that all data transmitted for E-Prescribing and for E-filing is automatically encrypted following the latest HIPAA requirements. And for Cloud users the data is automatically protected using bank level security with high level encryption methods.

Total Medication Adherence and Coordination of Care

Medication management is critical when it comes to mental and behavioral health. Providers know that therapy is less effective when patients are not taking their medications as prescribed.

Making Clients Inactive in QuicDoc Office

Your client is doing well and has terminated therapy. He or she has even completed the Patient Satisfaction Survey in QuicDoc. You decide that now is the time to change the client’s status from active to inactive. Since your practice uses both QuicDoc and Office Therapy, the Inactive Status for your client gets automatically transferred to Office Therapy.

The problem is that, as an inactive client, outstanding charges can’t be filed, statements can’t be generated, payments can’t be applied, and the client’s data may not be included in certain reports. Often the therapist doesn’t know the status of outstanding charges or pending insurance payments when making a client inactive.

Simply having a procedure in place to check on the billing status of a client before making him/her inactive will resolve any problems. Perhaps one individual can be assigned to this task. The procedure to make clients inactive should depend on workflow and communication between the front and back office staff.
