Message from James B. Miller, Director of Compliance and Quality Control

As I write this edition I have just returned from the National Council Conference on Behavioral Health held in San Diego. My colleague and I met many interesting directors, clinicians and advisors from all of the mental health disciplines. This conference is highly regarded in the industry as the place to gain up to the minute treatment practices, fellowship with other providers and view the latest technology the vendors have to offer. If you get a chance to attend the conference next year, to be held in Chicago, I would highly recommend it.
  
The main topic of conversation this year on the exhibit floor was all about change, Meaningful Use, ANSI 5010 billing standards, the move to ICD-10-CM, and how the government views mental health providers and facilities in the wake of these new initiatives. The overall consensus was that there are very challenging times ahead.

  When is a password secure?

Above all, secure your passwords physically. NEVER write them on a sticky note and place them around your monitor. Although you cannot protect against a hacker "asking" and "guessing",
you can protect yourself from other forms of attack. A hacker
will usually create an automated script or a program that does
the work. They aren't going to sit around manually trying 500,000 different words to see if one of them is your password. Security experts say that simple to remember multiple word passwords work best to defeat these scripts.

  Planning a vacation this summer?

Both you and your colleague have to be using QuicDoc on the same network, and each of you needs to be set up as users in QuicDoc. For each client, you can assign access by double clicking on the client name and opening up the client setup window. Then click the Access button next to the Provider field.

Simply click the down arrow in the Add New field to open the pick list to select your colleague's name then click Add. For more information consult the QuicDoc Help files.

The new ANSI 837 5010 standards are set to be implemented on January 1, 2012. DocuTrac, Inc. is preparing for these changes. These new standards will be included ONLY in our Professional Edition Office Therapy. In order to continue to file your claims electronically, you will need to be using our Professional Edition by January 1, 2012.

  ANSI 5010 Information

Bringing you the latest information on changes, updates, and resources

Time Line: Continuing throughout 2011 vendors, insurance companies, and clearinghouses are working to test these new standards. As of January 1, 2012, providers will be required to submit the ANSI 837 5010.

DocuTrac's 5010 coordination team is working to complete development in order to enter the ANSI 5010 testing phase sometime in August of 2011. The ability for you to file claims using this format will be available in time for the January 1, 2012 deadline.

Data Elements: It is imperative for you to understand the changes between the 4010A1 and 5010 standard so that you will be able to identify the extra data elements that must be captured that may impact your workflow.

  Gateway e-Filing Information

We continue to have regular interactions with representatives from Gateway EDI regarding the 5010 initiative and our development efforts to update Office Therapy Professional. We remain on track with our target deadlines and will be testing sometime in August.

We can Help: The other project that we are engaged in with Gateway EDI concerns how to better assist our customers in avoiding common claim rejection issues. We are proud to announce that through monthly monitoring and identifying problem areas that several users are experiencing reduced electronic claim rejections. Through this process we have discovered that many of our customers do not realize that we can help them minimize their rejections.
