Office Therapy - Trailing and Leading Spaces Can Cause Claim Rejections

A claim rejection will occur if a field contains an extra space either in front of or following the data. Trailing and leading spaces occur when the space bar is pressed before or after entering data. Many clearing houses will not accept electronic claims with extra blank spaces. To fix this, first find out from your clearinghouse which field (loop/ segment) contains the trailing or leading space. Find that spot in Office Therapy® and highlight the entire field. You will then see the extra space(s) to be deleted. 

In the example below, the Client’s first name has a trailing space as can be seen when highlighted.


Once the trailing space is deleted, you can see the difference in the length of the highlighted field as shown below.


These errors can occur in just about every typed field in Office Therapy. To avoid this type of claim rejection, please be careful when entering data to assure that you are not entering leading or trailing spaces.
