HIPAA, FaceTime, and You

Someone asked the question, “Is FaceTime HIPAA compliant?” According to Apple, by itself, yes FaceTime is HIPAA compliant, “each FaceTime session is encrypted end to end with unique session keys. Apple creates a unique ID for each FaceTime user, ensuring FaceTime calls are routed and connected properly.”

Compliance, however, depends on how the user manages the tool, the physical environment, devices, wireless connections, and networks being used. If these are not HIPAA compliant, then you are not compliant when using FaceTime or any other service or software. It’s up to each individual to assure that not only the service they use, but also the Hipaa networkphysical environment, network, and devices they use conform to HIPAA security standards.

For more information about HIPAA and how it applies to you, view our free webinar.

QuicDoc® Enterprise HL7 LAB RESULTS Integration

Lab testReturned Lab Results are available in QuicDoc Enterprise Edition through QuicExchange.

Once QuicExchange is linked with QuicDoc Enterprise, you will be able to review lab results for a single patient or scan through all Lab Results received within a specified time period.

Results that are normally confined to your lab terminal can now be instantly associated with patient records in QuicDoc Electronic Health Records Software. Additionally, results can be marked as having been reviewed which helps to simplify patient data management workflows.

For more information visit the QuicExchange page on our website, attend our free webinar on Lab Orders and Results, or call our Sales Department at 800-850-8510.

December 2014 EMR and PM Newsletter

blue lock encryptionThe majority of QuicDoc® Pro and Office Therapy® users are not the target of hackers today. The biggest threat our users face is the loss or theft of servers, desktop and laptop computers. These computers, even when secured with Windows logon passwords, are not secure enough.Logon passwords can easily be hacked leaving the data vulnerable to thieves. Even if they don’t take the time to break the password, the culprit can just remove the hard drives and connect them to other devices to access the data. The only way to adequately protect your practice, your clients, and yourself is to encrypt all the drives containing “Protected Health Information.”QuicDoc Pro and Enterprise, as well as Office Therapy software users should protect their data by encrypting the hard drives where the databases reside. BitLocker Drive Encryption built into Microsoft computers for Windows 7 and higher, will encrypt hard drive(s) to protect operating systems from offline attacks. If you have not done so and need to encrypt your hard drive, be sure to first back up your data and store it on an external device. You can rest assured that all data transmitted for E-Prescribing and for E-filing is automatically encrypted following the latest HIPAA requirements. And for Cloud users the data is automatically protected using bank level security with high level encryption methods.

Total Medication Adherence and Coordination of Care

Medication management is critical when it comes to mental and behavioral health. Providers know that therapy is less effective when patients are not taking their medications as prescribed.

Recognizing the importance of total medication management DocuTrac has partnered with DrFirst in order to help therapists provide optimal patient care with Total Medication Adherence. This includes medication history and adherence monitoring and support, as well as electronic prior authorizations and prescribing of controlled substances for those providers who can prescribe.

Learn more about how to make the most of Total Medication Adherence in your practice by attending a 30-minute webinar on January 9th click here to register or February 13th click here to register at 12:00 PM ET. A medication management expert from DrFirst will show you how you can:

  • Monitor patient medication adherence
  • Expand patient adherence with clinical, behavioral and socioeconomic support tools within your EMR workflow
  • Obtain key details about patient medication history, drug allergies and formulary information

We know that your schedule fills up early, so register today!

Making Clients Inactive in QuicDoc Office

Your client is doing well and has terminated therapy. He or she has even completed the Patient Satisfaction Survey in QuicDoc. You decide that now is the time to change the client’s status from active to inactive. Since your practice uses both QuicDoc and Office Therapy, the Inactive Status for your client gets automatically transferred to Office Therapy.

The problem is that, as an inactive client, outstanding charges can’t be filed, statements can’t be generated, payments can’t be applied, and the client’s data may not be included in certain reports. Often the therapist doesn’t know the status of outstanding charges or pending insurance payments when making a client inactive.

Simply having a procedure in place to check on the billing status of a client before making him/her inactive will resolve any problems. Perhaps one individual can be assigned to this task. The procedure to make clients inactive should depend on workflow and communication between the front and back office staff.

Software Upgrades vs. Software Updates

Confused about what constitutes an upgrade and an update?

Software upgrades generally contain major enhancements and new features. Upgrades change the software’s version number. An example would be upgrading Office Therapy® from version 10 to version 11.

There is a fee involved in upgrading software, unless you are current on annual maintenance.  The fee is dependent on the version you are currently using.

Software updates repair features that aren’t working right for some users, provide minor enhancements, and can provide small changes to make the software easier to use.  Software updates can generally be automatically downloaded depending on the version number you are using.

For further information, please contact our Sales Department at 800-850-8510.
